What is your favorite Real Estate CRM

Question

We currently use Top Producer as ours, we have some great systems and auto mail follow up plans. However, I am always interested to hear what other pros are using and why.

Please share below what you are using and what you like and don't like about it.

Full CRM Specific to Real Estate

Tracks listings and Closings, Commissions and associated parties.

Cons:

Mass email functions don't have detailed tracking

Can get costly as your team grows.

It's 2 years since I wrote that post, and our "CRM" in google sheets is still running just fine. More data is shoved in it over time, but computers and web browsers and bandwidth are all getting faster at the same time.

@Chris Mason Sounds great, very helpful. We have about 6 Investors on our team right now, and I'd like to start implementing a much more clean, professional system without incurring in a CRM system, since it's not justified at this point. Would you say this is the way to go Chris?

My team runs our entire business in Google Sheets, with some Google Docs mixed in. Literally, from tracking referral partners to prequal to origination/underwriting to funding to post-funding birthday cards for folks we liked doing business with.

Pro:

- $0.

- Does exactly what we want, nothing more and nothing less.

- Lightning fast, tablet/phone friendly.

- Anything anyone changes, everyone else instantly sees that change - including, in many cases, the homebuyer. People (younger people especially) love the transparency of being able to watch one of us work on their deal, live and in real time, sometimes with them on the phone as we do it (or they will call and ask why I changed this property tax number or that fee right when I do it. "Hey! Sweet, you just reduced my property taxes, but why?!").

- Forces us to keep clean and useful data, and purge irrelevant/old data. There will be a 'con' below for why.

- Mortgage software all sucks (seriously, all of it sucks!), so whatever is in Google Sheets is our "master plan" for when the deal goes live, and we beat the official software with a baseball bat until it matches what is in Google Sheets down to the 100th decimal place (the 0.001% in DTI, for example) . This forced double-check mechanism actually prevents about 95% of what would-have-been a software or data entry errors screwing with someone's deal.

- Minimal busy work, minimal compatibility issues. Once I create a YTD P&L, or run the VA residual income calculation, or whatever, it's right there in google sheets/docs in the "templates" tab at the bottom, waiting to be recycled on the next deal. This allows for higher volumes and a thicker pipeline, without sacrificing reliability or customer service, than would otherwise be possible.

- You're going to know if you still owe me paperwork, because your worksheet is going to have the word "NO" in red letters right next to the words "2015 W2 or 1099s, as appropriate."

Con:

- $0, but took a LOT of time to implement initially, and time is money. This included recreating all of Fannie/Freddie/FHA/VA underwriting paperwork, with all of the exact relevant formulas, etc, in the cloud.

- Requires that everyone be tech savvy. You can't have (for example) an old person that only knows how to sell on your team. Cannot work with people that don't (for example) know what ctrl+c and ctrl+v do. No Luddites allowed.

- To keep it lightning fast, every December around the holidays - we copy it over, delete everything except the stuff that is still relevant, and basically start clean. A link to past years is in each subsequent year, so we can click back to get obscure info from past years as needed.

- Can't put SSNs, credit card numbers, etc, in Google Sheets for obvious reasons. So we still keep (otherwise redundant) paper files and use shred bins, creating an odd mix of super high tech and super old fashioned.
