Repairing rental property for tenant

One of the incident that happened today is we had sent technician to repair freeze with our expense. We have communicated date and time precisely and tenant agreed upon. However when technician arrives, tenant was not at home. very frustrating. what should I do in this situation? any advise for future repairs?
