We are closing on an eight unit apartment complex. After closing, How do you approach the existing tenants? How quickly do you introduce yourself? What do you say? What do you ask? What do you not say? I appreciate help in advance.

This is what we gave to the current tenants of the last six unit I closed on.

To whom this may concern,

I would like to take the time to introduce myself as the new Landlord of 1234 50th Street, Palm Beach FL 33404. All payments, maintenance requests, and correspondence need to be sent to me personally. You can call my phone/directly at 561-xxx-xxxx.

If you currently use an automatic draft, cash deposits or electronic payment for your lease payment, please contact your financial institution immediately and take the necessary steps to transfer the automated payments. Call the phone number above for details about the routing number.

I have included a Tenant Information Form for you to fill out. Please complete this form and return it me at your earliest convenience. It is important that we have all your important information updated for our files.

Please provide us with a copy of your current lease and receipts of any security deposits.

I look forward to providing you with exceptional management, including prompt maintenance service, as well as maintaining a safe place to live.

Sincerely,

Max

The Tenant Information Form is something you can very easily find a template for online. Its a basic way of the information you feel you need.
