Can I have an in person conversation, should I write an email, or does it need to be a written letter?

So should I tell my tenants via email that rent is still due or wait for an issue to arise then send a notice to specific tenants that missed a payment?

Below is the email that we just sent out to our tenants.

After the closing, and after great conversation in the parking lot with the sellers, I checked my email to find a very unsetting message. 

The tenant can click a link in the email (I can see if it's been opened or clicked), and the Tenant has easy options to pay (debit, credit, Apple pay, and bank transfer).

Subject: COVID-19 pandemicDue to recent events all late fees forrent will not apply.We are asking you to contact us ifquestions or payment delays occur by email or text.We will be working with each of ourvalued tenants to reduce or delay payments as needed.  

Being a newbie I wasn’t expecting the knob and tube fix to be a lot and I was eager to get the deal so I agreed in an email and said I wanted to get an estimate from my electrician.
