It could be a simple contract that outlines what each person brings to the table (the homeowners agree to the future sale of the property and all sides agree on the allocation of the sales proceeds).

For instance "email is preferred for non-emergency situations and for emergencies call me at ______"- In the letter outline the different ways you collect rent.

It looks so ugly and out line when it’s just sitting there in the front and the rest of the street has brought theirs to back in.... what is so hard about wheeling it back and forth on collection day???

I think the mistake was definitely not outlining our expectations in the contract.

@Michael Whitaker - if the lease doesn't clearly outline that the tenant is responsible for it then you are responsible.  

You should have sent tenants a letter too outlining payment procedures. 

@Wade Sikkink Based on a comment above, when I show potential residents the house, I am going to have a handout which outlines my criteria to weed out potential tenants that aren't ideal tenants for me.
