So if we want a written record we stick to snail mail and e-mail.On thing to keep in mind is that tenants value convenience, so if you required everything via physical mail, it would be very painful to get anything done.

I realize that security deposit can be tricky during move out and tenant disputes damages, so we started doing VIDEO WALKTHROUGH and get the tenant to confirm each room that there is no physical damage, so amnesia when they are moving out.
