This appears to be a contractual issue/dispute with your PM and I would write to them noting that as the landlord you need to account for these funds and to provide this information immediately. 

On top of that our housekeeping knows to look for any issues in the home so we can address them immediately.

I find it to be very useful to jump on potential issues quickly.
