Typically you would use CRM software(web-based nowadays), youtube is full of videos with examples of how some people use and customize the software.

I'm not sure if this is the one I was thinking of, but I swear there's a software I came across long time ago as alternative to sub metering.

Did you use any specicif software to help calculate this?

Still working the bugs out of the software. 

I used it since 2002 when I switched from Quicken, and prior to that several other software packages.

Be sure to do your due diligence and if you find a property, it must cash flow positive after mortgage, taxes, insurance and repairs are figured into the equation.Finally before you buy something get familiar with a property management software which you can learn and use when you do find that first property.
