In the last month or so, we had a few issues, eg. mainline clog, utilities has gone up a lot, the furnace doesn't always work ....I would love to ask them to renew the lease for another year, but I'm afraid that it'll initiate their searching for another place.

Drains clogged, call drain cleaner.I have tenants deposit the money themselves, so that's usually nothing more than a reminder text and checking the bank to see the money has appeared.Once a year I have to gather up and organize all the info to give to my CPA.

If not, is there a set time (the first Wednesday afternoon of the month; every other Tuesday before 11:00 am, etc) that the tenant can set aside to allow you to do preventative and routine maintenance?

I agree that some issues, like clogging the toilet should be noted and made clear, but you only need to paint a picture of what tenant failures are, you can't specify every issue or say too much because then, if it's not listed under a very detailed list, it may be assumed it's not a covered issue, so it may be better to leave some room there.

It gets applied to default amount and thus goes directly to the bank, not in the seller's hands.You'll want to put a clause in their that will also prevent the seller from trying to sell the house out from under you.
