You want to be able to keep track of all details regarding your property and you can do that through the Fixed Asset Items List of QuickBooks. 

To be more detailed about out of state investments I would look in Dallas, Houston, Miami, Phoenix, Atlanta, Nashville, Chicago which is a northern location. 

Again take this feedback with a grain of salt as I don't know all of the details about your situation.

You’ll have some trial and error along the way but you’ll learn as you go.As far as what’s in David Greene’s book, I think it’s good in a way but it glosses over a lot of the details and finer points.  

And after some good suggestions I’m going to start making more detailed lists for each property and how I can update them without breaking the bank. 

@Daniel Dietz , If this deal is done via LLC, you need either article of incorporation that is detailed enough and plus an operating agreement. 

More details would definitely help to attract more eyes to the post and help solve your dilemma I think.
