Put the bills on autopay directly to that card or direct debit from the checking account. 

You deduct what you can from the deposit and charge them for the remainder.If it takes longer and the deposit won't cover the losses, send a bill to your departing tenant and give them 30 days to pay.

Yes I have answered this numerous times on other threads, but bullet points:1 - If you are considering a PM, now would be the time to hire as you can lean on them most likely.2 - Look for designers in the area. 

The person hired a company to clean up my 3rd house and gave me a surprise of 400 USD bill for the cleaning when it should be at maximum 150/200.
