But even after we get everything organized, it's still just so annoying to use so slow (pages load slowly and every click on a report results in a pause while it fetches data, it's just tedious).  

I would keep and organize all of your communication around this issue, including gathering pictures of the unit and the area in question that was repaired.

Since there are often different entities, there are different skills and systems needed.With that said, I can tell you are definitely better at building systems that I am (I have built up some best practices, but they mostly reside in my head).
