They are charging 7% and 10% of vender invoices.

Whatever the repair, copy the invoice, write a Business letter detailing the charge (adding the charge to their ledger); the section of the Rental Agreement that references tenant damage/repairs; provide a deadline for them to reimburse you for the expense.

Thankfully only 2 ever did enough stuff I would have taken anything from the deposit and 1 of those actually paid an invoice I sent them for those issues.I'll guess that most of them either had landlords take money they didn't they should have or were just slow on paying back.

If damages exceed deposit, send them a list of the damages and invoice them for the balance due minus the security deposit.  

If you are rehabbing something and redoing major stuff such as wiring, roofing, and plumbing, you will get a better rate when you show them the contractors invoices for these items being redone.  

@Jeffrey Nordin - regarding management, most of the PMs loved to spend my money, encouraged repairs that I wasn't even doing on my own house, because they marked up the invoices a lot, and that's how they made the majority of their money, even though you also pay a monthly % of rent fee. 

I have seen things structured as a consulting fee for "acquisition analysis" where there is an invoice for evaluating a deal for a flat fee.
