Sorry to be the dark cloud here.As a new lender and your buddy as a new investor, IMO, dump the whole concept of boarding house and that manager company there are devils in the details that you folks don't want to learn the hard way.

I use my camera phone to remind me which house is which when I drive properties and I keep all my forms and files in the cloud and access them from anywhere I can get cell service or grab unprotected wifi.

We also have a cloud based utility (water,sewage,electric, and has)management software that is geared towards multi building owners.

I'm involved with a tenant in a similar situation and we are `going for five figures in damages, Most LL's violate laws, nail them hard, in fact, it would be a great strategy just screwing them over when the mess with tenants, much like an ambulance chaser.
