I found the best solution is to create an import template in Excel with pre-populated descriptions for the recurring transactions (rents, garbage, landscaping, pest control, etc.) and import it into Xero and then manually key the non-recurring transactions (primarily repairs).

So, don't shortcut the need to treat this transaction exactly the way you treat it in your brokerage business; state-approved CBS, dates/deadlines, prelim title, inspections, survey, insurance, appraisal, title, RMLO process/credit counseling (takes place of loan approval), then on to title co escrow close.Finally, as @Guy Gimenez also mentioned, you absolutely should use a note servicing agent (think "arms-length"), which very nearly always is covered by the buyer (both one-time and recurring costs).

However, there may be additional recurring costs such as landlord paid utilities, snow removal and lawn care as well as non-recurring but expected costs that should properly be reserved (repairs, vacancies, capital improvements).

Only complete income number is for rent, but if I have a one time payment or something that is not recurring how do i add that in, or are you saying that is something i should not add into the equation.
