If the issue is more involved or personal (for the tenant), I would probably choose to speak over the phone about it, BUT if there is a result from the conversation that I wish to document I can send a follow-up text to do that.

Then follow through.

There "may" be a policy form out there that doesn't require this, but all the ones I've ever seen follow these standard insurance principals.   

@Marie Magno different state, but whenever we had issues with our Section 8 tenant we contacted her assigned case worker who would help the tenant understand that she would lose her voucher and face eviction if she did not comply with the lease, paying her portion and following lease terms.

However, I think Virginia requires that notice be given before the 1st of the month, so notice on the 8th would mean full rent due for following month.

I didn't know what I didn't know but I knew that if I was able to join with a group of high-performers who have a proven track record and top systems in place I would be able to replicate what they have done and expedite my business.

Find someone at your local REIA who you click with and see about partnering with them, following them through a project, or offer to trade your labor/skills for them mentoring you.
