I have an Excel template with pre-populated dates, unit #s, rents, and recurring expenses like management fees, landscaping, community lighting, and pest control and I manually complete that template and then upload it into Xero each month.This combines the stuff the PM handles with the stuff I handle...mortgage, property taxes, insurance, professional fees, admin, cost segregation, closing costs, loan fees, syndication income, etc. 

I use Cozy, it's free and you can have your residents setup direct deposit recurring rent collection.

The reality is that since all this work was done before, this is a recurring problem and the fixes done to date come up lacking.

The recurring issue is can I or should I?

There is nothing quick (or inexpensive) in manually keying hundreds of monthly transactions from an owner's statement into Xero or QB, even with recurring invoices set up.  

I have just registered with them and agree there customer service is great.I like how they provide and option for automatic recurring rent payments.

This has a doubly negative effect – shorting your own potential income, and perhaps crushing a struggling tenant with that recurring fee that “breaks the camel’s back”.
