We take very detailed move in pictures for legal purposes and when we are given notice that a tenant will be leaving and what date that will be on, we list it and show people the move in pics and the stats of the the unit, along with any planned upgrades.

The fax to PDF solution I mentioned might be good if the papers are distributed, but if they are all in one place and need to be scanned in bulk, then other high speed scanners might be a better bet.

These days, you can use Docusign, etc. to do the contracts remotely, but I think you MUST have someone you trust in the local market to inspect the property and send you pics and videos.
