The way it's set up now is my tenants deposit rent into rental checking account and I deposit the rest of the amount needed to cover the mortgage from my personal checking account into the rental checking account.But, with expenses such as maintenance and upgrades, I have been paying for those from personal account and I (embarrassingly) have no idea how much I'm spending in total or on each unit.

As far as collecting goes - You will need the Sheriff to serve them with the paperwork typically the Sheriff shows up at their work which can be embarrassing especially in smaller towns.
