Thank you @Dennis McNeely. I haven't considered filing a police report. 

The only proof of the damaged door is the pictures that the garage door company sent me. I also have pictures of the house prior to the tenant's possession. So before- after pictures is what I have. When she reported the issue, she said "Garage door won't open" - which is an understatement ! If someone else damaged it, she would have said so. The fact that she is not being upfront with the main issue at hand, clearly indicates she is trying to pass it off as a 'maintenance issue".

My tenant reported that the garage door wasn't working. This was a perfectly functioning garage door when I handed the property to her. To address this maintenance issue, I sent out a reputed garage door company to look at it.  They told me that the garage door is beyond repair because it has been hit by something - causing the damage. They sent me pictures as well. The door now needs to be replaced completely. 

The cost of replacing the door is far more than the security deposit. The tenant's lease is ending this month and I'm not renewing. How do I mention this to the tenant in a way that she's informed that I'm on to her (and this is not a "repair" issue) ? I'm concerned that if I bring up the matter of withholding security deposit to cover the costs , they might cause more damage to the house prior to vacating this month. 

Any suggestion is greatly appreciated.

Thank you Russell, Colleen and KC ! Very helpful responses ! We do have a maintenance budget and we do intend to fix the cosmetic issue that she's complaining about. She has reported several issues time and again and all of them have been fixed - except this cosmetic one - which she only reported on December 1st. However, she consistently pays rent late and this time, it's the 20th, and she still hasn't paid. There's no timeline of when she will pay (we would definitely work with her if she would say something along those lines). Anyways, I appreciate all of your responses. Thank you so much !

I've a tenant who has been paying her rent late each month (along with the late fee). This month, however, she has not paid the rent so far.

Here is the sequence of events that happened.

1. Issue #1 - a rat entered the house and caused damage to the pipes which caused a massive leak - This issue was addressed properly and promptly. The rat was trapped, and the leak has been fixed.

2. Issue #2 - She lodged a maintenance issue asking for the ceiling tiles to be replaced which had water stains from Issue #1. We have not yet addressed this issue since we incurred a lot of expense from issue #1, and don't consider this as urgent.

After several attempts to contact her, she replied back saying that she has "taken" some of the money from the rent to pay and get the ceiling tiles replaced herself. She says she will pay the rent late. There's no indication of when, or how much of it she is going to pay.

We have been very courteous with her and been very reasonable and patient with her so far. What is the best approach to handle this situation?

Yes! Congratulations, and it looks amazing  ! Will you please share details of the interest rate on refinance, and what your rent is ? I am brand new investor on my refinancing journey. I'm hoping for a $215K arv, but with interest rates in the 7% is not helping at all.. I could end up in $15+/- "cash flow" ! Please do share whom you refinanced with as well.

Thank you, @Andrew B. Yes I do realize that was a mistake. But thank you so much for breaking it down to figuring out whether or not any red flags were raised. So far, thankfully, none. To make myself feel a bit better, I asked her to send me a screen shot of her bank activity which shows that the money has been deducted. So with that, and with apartments.com email saying "nothing due", it gave me the confidence needed to proceed. I didn't know that electronic payments can be reversed after many months - I didn't consider the "fraudulent claim" aspect of it ! Thank you pointing that out. Is there a better method that you use to collect rent payments ? So far, for my other property, apartments.com has worked great and haven't had an issue with collecting rents so far. 

Hello all,

I have a new tenant moving in and she has set up her payment using apartments.com. She verified her bank, and the payment now says it's "In Progress", and that the estimated arrival is April 11th. I did receive an email from apartments.com regarding 'Payment activity' stating that money was sent on April 4th, and Balance due is nothing. I called apartments.com to confirm if it means that the money has been deducted from her account, and that it just takes that long to arrive in my bank. Customer service said that until the 11th, they cannot guarantee that. 

I'm yet to handover the keys to her for move in. How can I be sure that the money has been deducted from her account? Has anyone had a payment activity email like this from apartments.com, only to be followed by another email saying that the payment didn't go through successfully ? 

Please let me know, and thank you so much in advance !
