One of the first rules I learned was if the ac unit needed to be put on the security system, it was not an area we needed to be investing in.

Communication is key.  Good news, bad news, but never no news.  From what I see, most property management companies are understaffed for the volume or their systems are not capable of handling the volume.   Nobody sets out to offer poor communication and customer service but when the staff gets overwhelmed, that is was goes first.

Maybe start with the Florida Real Estate Commission to see if there are any complaints on file.  

Double check their score on the BBB.  Consumer complaints here are from legitimate people unlike many of the other anonymously posted sites out there. 

Narpm.org  is the National Association of Residential Property Managers.   See if you find them there.

If at all possible, I would make a visit to each office at this point.   Walking in the front door will allow you to really gauge the company and staff.   Are they smiling and enjoying themselves or is it chaos and frustration?  

Also, verify how many staff members do they have per home and what is the employee turnover for your particular location assuming they use the property manager model.   An individual with too many properties can't do a great job all the time for you.

In Georgia, we send off "estimated" charges from the move out.   Tenant has 5 days to respond.  

We take a look at the response, check our documentation from the move in, and adjust where necessary.

Sounds like when you respond with your findings, adjustments will be made accordingly. 

Just part of the process.

There are plenty of screening companies that are available to help all landlords.   Applicants should be made to pay for their own screening so it is technically free for the landlord. Making tenants responsible for the screening cost is the first way to flush out the "dead beats" for you.   Who is going to waste $50 to be denied?

Verifying  3 times the amount of rent in income is a must.  Pay stubs, 1099's, tax returns,  whatever they have to prove income.   If they can't.....deny.
