 Hello Nicholas, I use excel to track my income/expenses and it works just fine. I recommend opening a separate bank account for that property if you have not already. Try to make income statements every month so the expenses are still fresh in your mind and you do not forget what you paid six months ago.


Thanks Eduardo, appreciate the advice. I'm still thinking about whether or not I should create an LLC, so of course that has me stalling on opening the new accounts because I am unsure if it should be in my personal name or an entity I have yet to create. I know there are many pros and honestly in FL it's not terribly expensive. I just have to pull the trigger and then work to get my books in order.

Just download all your transactions monthly to excel and just code them there (rental income, security deposit, insurance, taxes, and etc). For tax it all depends on what your goal is. If you want a lower tax bill then you would want deductions immediately, if you want profitability in the short term then you would want to depreciate as that spreads depreciation expense over the years. There is a lot more that goes into taxes but that is just a start. Talk to a cpa that specializes in taxes and they can help you out. 


Thanks Markus, appreciate the insights. I have a cpa, but they don't focus on REI. I think it's time for a new hire!

 Hi Nick, 

Are you self managing?  If you are using a PM they will take care of all of this for you.  If you are not using a PM all you need to do is track income and expenses.  Your accountant will handle depreciation for you.  Every item from a roof to a dryer has a depreciation schedule that is fairly standard.

One income property is really easy to track if you associate it with one bank account.  All rents coming in is income, all costs are expenses.  Balancing your account and doing taxes should be a breeze if you keep it organized up front.

I am self managing as it's a single property and I am trying to keep costs low. I am re-running numbers to see how badly I did on this first one haha, but thankfully been able to cover the expenses with my own cash. I haven't opened a separate account yet, but that is on my short list. Any suggestions on moving over funds and not making a huge mess of things?

Thanks Ray, my first deal was actually in the Buffalo, NY metro area. So not quite the same as South Florida, but I do have aspirations to move my investments south, where the commute is a little less!

New investor here; looking for information on markets between Miami-Dade and Orlando. Hoping to find a SFH or ideally a small MF. Thanks in advance for all the input!
