The machines were commissioned by the HOA and the total damages were around $5,000.00.

In all aspects of customer service people want to talk to people not machines.  

If the repair is due to damage or misuse by the tenant, they pay.If the repair is due to normal wear and tear or age of the machine, I pay.

@Justin Wilson Your best option would be to take a broker/agent (or two) to lunch or coffee to pick their brain.

I thought it would be best to have everyone get together for coffee and discuss a game plan such as times of the day i'll send my analysis and to make them understand why my realtor's asking for POF. 

First, treat tenants like the customers (and humans) they are, not like money machines that sole purpose is to  pay  down your mortgage.

You will literally be building a marketing and sales machine to sift through as many leads as needed to find those incredible deals with enough margin in them.Wholesale is one of the most active real estate business out there, so keep in mind that you're building a business and treat it that way.

(I do keep ground coffee, non-dairy creamer, cooking oils, and squeezable condiments in my VRs so that sort of thing should be fine)And I know you're just doing this for a little while when you're on vacation, but be aware that short-term rentals are typically not permitted on a standard homeowner's insurance policy.
