Where exactly is my money or invoice going since I don't have a physical address to meet this person at if I have a problem?

If you have replacement cost coverage they will pay the remainder of the cost after the job is complete and you send them proof of the total cost in the form of an invoice from the contractor.

I manage a low income property and I'm starting to notice more and more invoices coming in with work that could be prevented if my tenants would be proactive in maintaining their unit.

Invoices submitted quarterly are usually not paid for another 60 to 90 days. 

They know how they received the unit, I keep photos and videos of the before and after condition, and back everything up with receipts and third-party invoices for repairs.

Ask the danged question and if they say no, then I move on.

Dang that just made me cold looking at the pictures.And I have been complaining about 30-40 temps here in the Dallas area.Oh, and congrats on getting it done for the New Year.  

The other neat thing with cloud products is that most have API that allows you to integrate one tool with another (invoicing/accounting tool with your CRM etc.) - i.e: your tools talk to eachother and share information automatically as you specify; automation is gold.

@Jeanie Crisp, I have a couple of good contacts in the Dallas area that would most likely do your repairs and invoice you in order to keep the tenant happy if you have a figure in mind that the insurance company will be paying.
